Breakfast Instructions for Verification Site Visit
While typically occurring over breakfast around 7am on day 2 of the site visit, this can be moved to a different time of day if needed, based on reviewer flight schedules etc. This is the largest meeting of the site visit.  This meeting is an opportunity for the larger burn team to have a chance to articulate their role in the burn program, as well as strengths and potential weakness they may observe. It is also an opportunity for senior administration to learn more about what the team does every day, and for everyone to celebrate all their hard work over the prior 3 years.
The exact composition will vary between programs; common participants have included:
Burn Director and Program Manager
Burn surgeons
Representatives of Nursing, and Physical, Occupational and Respiratory therapy, Speech and Language Pathology, Pharmacy and Social Work
Representatives from ER, ICU and OR
Burn registry staff
Representatives from Rehabilitation, Physiatry, the outpatient clinic and reconstructive services
Palliative care team, Child Life specialists, chaplaincy, psychological support
EMS
Philanthropic support such as Foundation, firefighters’ groups etc.
10.  Hospital administration and Surgery department leadership
A typical breakfast meeting has between 20-30 participants, and it should last about 90 minutes. Please only include representatives if there is an impactful connection with the burn program; for example, if there is no local foundation or robust collaboration with local firefighter organizations, please do not include them simply because they are on the list above. Conversely, if there are members of the burn team not listed above, who play a significant role in your burn program, please include them.
Since the reviewers will have already had extensive discussions with the Burn Director, Program Manager, and Senior Administration during chart review and executive session, it is customary for them to skip these individuals during the breakfast meeting, to focus their attention on members that are at the meeting for the first time, who are usually the junior members of the team.
Recognizing that early morning is a busy time, it is also customary for the reviewers to offer the opportunity to speak first with anyone who must leave early (e.g., CEO, OR staff, night shift personnel). You may encourage the team members to plan to make their assessments concise – to grant the gift of time to other team members.
Finally, please add a list of all attendees from the breakfast and executive dinner to the Meeting and Rounds section on BCQP, upon conclusion of the site visit, so it can be included in the final report.
