Instructions for Breakfast Session

This is the largest meeting of the site visit and typically takes place over breakfast around 7:00 a.m. on Day 2. However, the timing can be adjusted as needed based on the reviewers’ travel schedules.

The purpose of this meeting is to provide the broader burn team an opportunity to describe their roles within the burn program and to share insights into the program’s strengths and areas for improvement. It also allows senior administration to gain a deeper understanding of the team’s daily work and offers a chance for everyone to recognize and celebrate their collective efforts over the past three years.

 The exact composition will vary between programs; common participants have included:

  1. Burn Director and Program Manager

  2. Burn surgeons

  3. Representatives of Nursing, Physical, Occupational and Respiratory therapy, Speech and Language Pathology, Pharmacy and Social Work

  4. Representatives from ER, ICU and OR

  5. Burn registry staff

  6. Representatives from Rehabilitation, Physiatry, the outpatient clinic, and reconstructive services

  7. Palliative care team, Child Life specialists, chaplaincy, psychological support

  8. EMS

  9. Philanthropic support such as Foundations, firefighters’ groups, etc.

  10. Hospital administration and Surgery department leadership

The breakfast meeting typically includes 20–30 participants and should last approximately 90 minutes. Please only include individuals who have a meaningful connection to the burn program. For example, if your center does not have an active local foundation or a strong collaboration with local firefighter organizations, those representatives should not be included simply because they appear on the list above. On the other hand, if there are key members of your burn team who are not listed but play an important role in the burn program, they should be included.

Because the reviewers will already have had in-depth discussions with the Burn Director, Program Manager, and Senior Administration during the chart review and executive session, it is customary for them to focus the breakfast meeting on other team members—particularly those who are attending for the first time, such as junior staff.

Given that early mornings can be busy, reviewers typically offer to speak first with anyone who needs to leave early (e.g., the CEO, OR staff, or night shift personnel). You may encourage all participants to keep their comments focused and concise, to allow adequate time for others to contribute.

Finally, please add a list of all attendees from the breakfast and executive dinner to the Meeting and Rounds section on BCQP, upon conclusion of the site visit, so it can be included in the final report.
