Poster Sessions Prep for ABA Staff (Pre-meeting & On-Site)

Pre-meeting:

  1. Fill out the Poster Moderator Evaluation Form for every poster session. See these completed forms for reference. You will need two copies for every session - one for each moderator.

  2. Create a list containing each poster session and their assigned moderators. See this completed list for reference. This list will be used for moderators to check what session they are assigned. Their assigned session is also in the Annual Meeting App, but not all moderators will have the app.

  3. Ensure clipboards are packed for the annual meeting. Clipboards will be used for moderator evaluation forms.

On-Site:

  1. When on-site at the annual meeting, organize the clipboards so that each one contains a session moderator evaluation form. Place the clipboards on a table at the annual meeting for the moderators to collect.

  2. Make sure that the moderators have read the Poster Moderator Guidelines prior to the annual meeting.

  3. At the annual meeting, make sure the two moderators per session agree on one poster in their session to be the best in their category.

  4. Collect the completed evaluation forms. You will need these when preparing for the the Best in Category session the next day.

  5. Give the moderators one ribbon per session, they will place the ribbon on the best poster in their category. Ask moderators to ask the rest of the presenters in their category to remove their poster from the board if they did not win a ribbon.

  6. Give each moderator one ribbon per session; they will place the ribbon on the best poster in their category. Request that the moderators ask the other presenters in their category to remove their posters from the board if they did not win a ribbon.

  7. After the first round of poster judging concludes, move all posters that have won a ribbon to a different section of the meeting venue. Ask SmithBucklin where this section will be, as there will be boards available there for all best-in-category posters to be pinned.

  8. During this time, posters presenters for the second round will be pinning their posters in the same location where round one took place.

  9. Email the poster presenters who will be presenting at Friday’s Best in Category Session with the date, time, and room number of this session.
