Onboarding Steps

Description

Timeline

Steps

Contracting

Before participating in the BCQP, all burn centers must have a fully executed Business Associate Agreement and License Agreement with the ABA. Sites who are migrating from Analytics to Full platform can skip this step.

1 - 3 months

ABA Onboarding Fee Policy:

The ABA is a very small organization.  Therefore, we do not make changes to our standard registry Licensing Agreement and Business Associate Agreement unless required to do so by state law. If your organization requires changes to the Bussiness Associate Agreement and/or the License Agreement that require legal counsel, we will issue a one-time $1,500 Onboarding and Contracting Fee to your burn center before we proceed. If no changes, or only minor revisions, are made to the ABA contracts, the onboarding fee will be waived.

Burn Center Instructions

  • Please review the BAA and LA

  • Return the BAA and LA to royer@ameriburn.org

    • If the BAA and LA are returned with no revisions or only minor revisions that do not require legal counsel, the Onboarding/Contracting fee of $1,500 will be waived.

    • If BAA and LA are returned with revisions that will require legal counsel:

      • ABA will issue a one-time $1,500 Onboarding/Contracting fee

      • Once the fee has been paid, we will send burn center revisions to our legal counsel and return contracts with our redlines and comments

      • When consensus has been reached on both BAA and LA, final PDFs will be sent to the burn center for signatures

      • Once signed, send to royer@ameriburn.org. We will sign last and send the fully executed contracts back to your for your records

Create ABA Profiles on ABA website and member platform

All staff who intend to use BCQP must also have profiles associated with your burn center profile on ameriburn.org

ASAP

  1. Have your burn team create accounts or update profiles on the ABA website/member platform.

    1. Choose the burn center associated with your hospital as your organization.

    2. Add job titles, credentials, etc.

  2. Select an Administrator for your organization on the ABA member platform if you do not already have one.

  3. Email bcqp@ameriburn.org with who should have administrator access. Your administrator will receive the annual BCQP invoice.

Vendor Security Assessment

Most hospital security/IT departments will require a vendor security assessment to be done. We will not allow your team to onboard to BCQP until your hospital security/IT indicates in writing that BCQP/BData has passed their assessment

2-3 months - a minimum of 6 weeks for BData to review and answer questions from your security department

Vendor security assessments can take a while so it is best to initiate this process with your security/IT department ASAP

  1. Speak with your security/IT regarding initiating a vendor security assessment to enter data directly into BCQP

    1. BData can provide more information to your IT department with their Security Overview Document. Have your IT email  BData Security (security@bdatainc.com) to request this document.

  2. Please have your security/IT send their assessment or any follow-up questions to security@bdatainc.com. This process can take a minimum of 6 weeks to complete so please initiate ASAP

  3. Your IT department must email BData Security to indicate that BCQP/BData has passed your vendor risk assessment before we can proceed. Email security@bdatainc.com and bcqp@ameriburn.org to indicate we have passed the assessment.

Select BCQP Users

Select your burn center’s BCQP users. Learn more about user limits here

After security assessment is complete

After the Security assessment is complete, we will ask you to complete a BCQP User form.

  • up to 4 users. (Additional registrars can be added at no additional cost)

  • remember to select a BCQP site admin who will manage your users going forward

*Please note that your ABA Admin and BCQP Admin are not the same. ABA Administrator manages your burn center employee roster and can access invoices on ameriburn.org. The BCQP Admin can manage the users and access levels on the BCQP platform at ababcqp.org

Onboarding Training

Our BCQP registry data partners, BData, will work with your team to schedule your initial training of the platform

After you have informed us of your user roles via the User Form

Once you select your BCQP users via the user form, Bdata will work with your team to schedule your user training and orientation to data entry. They will also work with your BCQP admin on how to add/remove users and edit permission levels so your site can manage users independently in the future

  • You can schedule additional report writer training after everyone is in the system and you have entered several cases

Data Migration (Optional)

Some burn centers elect to migrate their V6 data into BCQP for a one-time fee.

1-6 months after Onboarding

  1. Email royer@ameriburn.org to indicate interest and confirm type of data migration (V6 or custom).

  2. Sign Scope of Work for Data Migration

  3. Pay Invoice

  4. Schedule data migration training with BData
